After developing the complete plan for your wedding, we bring all of the elements together as we help you finalize important wedding decisions for your vendors and venues while managing the wedding process.  It’s our job to facilitate timely decision making and implementation, helping you to stay on track with every detail. 

• Vendor Selection and Contract Negotiation

It is important to interview carefully and select the best vendors and venues for your event based on your budget and priorities. We have worked with many of the best vendors in the industry and use our resources and information to help you find the best vendors at the best price. 

We will assist you by identifying, screening and recommending vendors for these functions that match the vision you have created, set up interviews with them, help you with the final decision and assist with negotiating the best contract possible with them.  In addition, we will review the contracts you have with the venues and vendors you have already selected so that we can manage them effectively. 

• Vendor Coordination

During the planning and process management phase we work with you and each vendor selected to make final decisions on every outstanding wedding detail.  This includes but is not limited to:

• Ceremony site review and management

Liaise between ceremony site and wedding family as needed; verify all site limitations and requirements are met; communicate requirements to all vendors involved; manage all site details.

• Reception site review and management

Liaise between reception site and wedding family as needed; verify all site requirements are met, coordinate all planning with site catering team; facilitate final decisions; manage all site details.

• Rehearsal Dinner site review and management

Liaise between rehearsal dinner site and wedding family as needed; verify all site requirements are met, coordinate all planning with site catering team; facilitate final decisions; manage all site details.

• Ceremony planning and coordination

Assist in wedding ceremony coordination as needed including developing order of procession, planning seating arrangement, and other ceremony details. I liaise with your priest to assure that all of his needs and requirements are being met as well as the ceremony site coordinator.

• Reception planning and process management

Assist in the final decision making and process management of all details related to the reception including layout, seating chart, schedule of events, favors, staff management, entertainment placement and management, set up of gift table and removal of gifts, packing up of all accoutrements after the wedding, schedule final bill payment.  I also facilitate reception planning meetings with the site catering manager and their staff to communicate all requirements and establish a smooth working process for the day of the wedding.

• Entertainment management

Liaise with your entertainment team to make sure that appropriate music is selected for all areas; ensure that MC requirements are defined; prepare order of entry and timeline and supervise music team in their performance at both the ceremony and reception venues.

• Floral management

Facilitate floral selections; make sure that floral team is designing to your requirements and budget; provide them with any size or site requirements if necessary.

• Photography management

Liaise between photographer and wedding family to determine style and quantity of photography, method of presentation, and photography flow for the day of the wedding.  

• Video management

Liaise between photographer and wedding family to determine style and quantity of videography, method of presentation, and videography flow for the day of the wedding.

• Stationary, Gifts and Favors

Offer suggestions and facilitate timely process as required for miscellaneous wedding items including invitations, favors and gifts, toasts, protocol, etc. 

• Timeline Management

During Vendor Selection & Management, we work with you to make sure that all items that are on the timeline are being implemented as planned.  We offer gentle encouragement and support as well as direct guidance to help you stay on schedule! 

• Budget Management

Managing the budget is an important part every wedding, as this is where final expenditure decisions are made and allocated.  We work with every vendor to determine requirements for deposits and payments, allocate all new budget items as determined and help you to keep the money part managed. We also provide coordination with all vendors day of wedding for any final payments so that you don’t have to worry about this!
