Weekend Management

This is where it all comes together! As we arrive at your wedding weekend, it is time for you to relax and enjoy every moment of this special day without a concern for anything.  Weekend Management starts the Friday of the rehearsal and continues through the last dance on Saturday and even through your Sunday Brunch. Our job is to cover every detail, manage every “emergency” and calm every nerve so that you can have the wedding day of your dreams stress and worry free! 

  • Rehearsal Management

Working with the site coordinator, we manage the rehearsal process for you, orchestrating all personnel involved and assisting in any last minute decisions.    Should revisions be required to the ceremony outline we make sure that those are completed before the ceremony time and distribute those changes to all involved.

  • Rehearsal Dinner Management

We make sure that the rehearsal dinner site is set up according to your plans, manage the flow of the evening including cocktails, dinner, toasts, gifts etc, as needed.  We will facilitate final tip and payment at the end of the evening if necessary.

  • Ceremony Management

We orchestrate the entire ceremony process working with the site coordinator and officiant (if Dr. Cathy is not officiating) as required.  This includes but is not limited to:

    • Manage placement of all decorations and floral
    • Keep the family and bridal party to the pre-determined timeline
    • Manage the pre-wedding photography process
    • Coordinate with photographer and videographer at site
    • Manage the guest book location and process
    • Manage the program distribution process
    • Organize the usher process
    • Encourage guests to be seated if necessary
    • Allocate seat assignments as necessary
    • Manage music placement and preparation
    • Facilitate placement of bridal party pre-ceremony
    • Orchestrate processional
    • Help seat late arrivals
    • Facilitate departure vehicle and exit process of bridal party
    • Accept and remove any gifts to predetermined location
    • Remove any decorations and redistribute to reception site

       
  • Reception Site Set-up

By the day of the wedding we know what you want for every detail of the reception.  We work with the catering staff at the reception site to make sure that they are meeting your requirements in function and in a timely manner.  We oversee placement of linens, floral, accessories, decorations and favors.  We make sure placement of seating chart is appropriate and accurate.  We also go over the schedule and staffing requirements with the catering manager one final time.

  • Reception Management

Your reception should flow seamlessly, allowing you and your family to be honored guests at this magnificent event.  By now everyone involved with the reception will know who I am and that I am the go to person for all issues, NOT you! During the evening my management process includes but is not limited to:

    • Timeline management

Assure that we are following pre-determined timeline for reception; coordinating any changes to reception team; manage timeline process for the entire evening.

 

    • Introduction management

Determine order of introduction of family and bridal party, coordinate with band member doing introduction, and manage line-up and procession of bridal party.  (You would be amazed how often they get this wrong, and it’s my job to make sure that the introductions are flawless!)

 

    • Catering management

Oversee dinner service and timing, working with catering staff for any unexpected requests or problems.  Provide final payment and tip to staff as required, fielding any questions or concerns for you.  You should not have to deal with a final bill at the end of your wonderful day!

 

    • Vendor management

Manage all vendors involved with reception for complete fulfillment of contractual obligations; make sure photographer and videographer are capturing all important moments, provide final payments as required.

 

    • Final cleanup

Oversee final cleanup process including removal of all gifts to pre-determined location, collection and disbursement of all wedding accessories (wedding bouquets, floral arrangements, glasses, knives, extra favors, etc.).

 

    • Post Wedding management

If necessary, I can assist you with post-wedding requirements such as mailing home the wedding dress, packaging presents to send home, etc.

 

    • Relationship management

Weddings create their own version of stress and excitement all rolled into one.  An important part of my job is to use my counseling and ministry skills to assist in the smooth flow of ideas information and concerns between all parties involved!
